Procurement of Dropbox file storage/sharing licences

Is Key decision?: No

Decision:

Procurement of Dropbox licensing to replace the Council's existing expiring agreement.

Reasons for the decision:

The Council's existing Dropbox licensing is due to expire on 7th March 2024. The Council continues to use Dropbox for some secure file sharing. A licensing arrangement to enable continued use is therefore considered necessary at this time.

Alternative options considered:

Microsoft OneDrive and Teams file sharing is used widely in the Council, and migration of remaining Dropbox use was considered.

This was not able to be prioritised above other current business priorities prior to the expiry date, and therefore renewal was determined necessary at this time.

Source of Authority to take Decision:

Council Constitution dated 31st January 2024, Part 3, Page 3-40, paragraph 2(c):

GENERAL DELEGATION TO ALL JOINT STRATEGIC DIRECTORS, EXECUTIVE HEADS OF SERVICE, AND SERVICE LEADERS

2. To undertake the day-to-day management and operation of staff reporting to them and of the premises and services for which they are responsible in accordance with the policies and procedures laid down by the Council, including:

(c) entering into contracts (in consultation with the relevant Lead Councillor where the value is above £200,000), memoranda of understanding or other arrangements
